This notice explains how Flash Security Services Ltd. handles information submitted through its Facebook and Instagram security-services quote forms.

Information we collect and use

We collect your name, email address, phone number, company name, site city, requested coverage and anticipated start timeframe. We may also receive submission details, including the form or campaign identifier and submission time.

We use this information to respond to your request, clarify your security requirements, prepare or discuss a quote, and manage the enquiry and related correspondence in our CRM.

Submitting a quote request does not subscribe you to newsletters or unrelated marketing.

How information is handled

Meta receives information submitted through its Facebook and Instagram forms. The delivery process for these enquiries uses Windsor.ai to retrieve submissions into Flash's private CRM, hosted through ChatGPT Sites and Cloudflare infrastructure. Access to Flash's CRM is restricted to authorized users and service connections.

These service providers may process information outside Canada, where it may be subject to the laws and lawful access requirements of another jurisdiction. Meta also handles information within its services under its own privacy policy.

Retention

For Flash-controlled records, our retention period for unsuccessful quote enquiries is 12 months after the last meaningful contact about the enquiry. At the end of that period, records are due for retention review and disposal when no longer required. Records may be retained longer where required by law or needed for a documented dispute.

Records relating to a resulting client relationship are retained according to applicable contractual and legal requirements. This notice does not replace Meta's independent retention rules.

Your choices and privacy requests

You can contact us to request access to or correction of your personal information, withdraw consent for handling based on that consent, request a review of whether information should be deleted, or raise a privacy concern.

Requests are assessed subject to applicable legal or contractual restrictions, and we may need to verify your identity. Withdrawal may affect our ability to continue handling your quote request.
